If you’ve been running Shopify long enough, you’ve probably run into this problem: orders from different sales channels don’t all follow the same rules, but Shopify processes them the same way. Whether it’s Shopify Collective, TikTok, or even Shopify POS, each channel has unique pricing, tax, and fulfillment requirements.

One of our clients in the car seat industry was facing this exact challenge. Shopify orders from multiple sources were being assigned to the wrong customers in NetSuite, causing pricing discrepancies, tax issues, and inventory misallocations. Wholesale orders weren’t getting wholesale pricing, TikTok orders were being taxed incorrectly, and unpaid B2B orders weren’t moving through the system properly.

What Happens When Shopify Orders Aren’t Categorized Correctly?

Without a way to distinguish orders based on where they came from, the company was facing:

  • Incorrect customer assignments: Shopify Collective orders weren’t mapped to the right wholesale customers in NetSuite.
  • Pricing inconsistencies: Some orders required wholesale pricing, but Shopify’s standard process wasn’t applying it.
  • Tax and shipping errors: TikTok and other marketplace orders needed special tax treatment, but Shopify was treating them like any other sale.
  • Manual fixes: The team was forced to manually correct errors in NetSuite, slowing down fulfillment.
  • Mismatched financial reporting: Revenue was being attributed to the wrong subsidiary or department, making it difficult to track performance accurately.

With a mix of direct-to-consumer (D2C) and B2B orders in the same Shopify instance, these inconsistencies created real problems.

Our Solution: A Shopify-NetSuite Custom Flow That Works for All Sales Channels

Instead of letting Shopify’s default automation dictate how orders moved through NetSuite, we built a custom flow to process orders the right way from the start.

Here’s how it works:

  1. Identifying the Sales Channel: Our integration reads Shopify order tags to determine whether the order came from Shopify Collective, TikTok, POS, or another sales source.
  2. Assigning the Correct Customer: Wholesale orders are mapped to the right B2B accounts in NetSuite, while D2C orders follow the standard Shopify customer flow.
  3. Applying the Right Pricing: Orders that require wholesale pricing are automatically adjusted in NetSuite.
  4. Separating Subsidiary or Location Assignments: Based on the sales channel, orders are routed to the correct NetSuite subsidiary, department, or fulfillment center.
  5. Fixing Tax and Shipping Calculations: Marketplace orders that require tax exemptions or different shipping rules are processed accordingly.
  6. Handling Unpaid Orders Properly: B2B customers who place orders without making immediate payments are assigned correct payment terms in NetSuite.

This ensures that every Shopify order flows into NetSuite with the right data, eliminating any manual intervention.

Results That Make a Difference

Since implementing this custom flow, our client has seen:

  • 99% accuracy in customer assignments: No more misdirected wholesale orders.
  • Seamless pricing adjustments: Orders from Shopify Collective now receive the correct wholesale pricing.
  • No more manual order corrections: Orders enter NetSuite correctly the first time.
  • Faster order processing: No delays from order mismatches or reprocessing.
  • Accurate financial reporting: Revenue is properly attributed, making financial reconciliation easier.

This integration also ensures that Shopify POS transactions are handled correctly, preventing conflicts between in-store and online inventory management.
